Great tips to work less, achieve more… and live a little in 2010!

Happy New Year everyone, it has been a very busy productive start already at 5 Star Communications. Who wouldn’t change a thing or two to make life easier? I thought I’d share the latest article I just published to an entrepreneurial website* as a preview on this blog:

If only we had more time, our resolutions would materialize sooner…right? If results are based on actions and resolutions are mere words with hopes and a prayer, then we all need to find efficient ways to put more actions in our days…and communicate a little less – (I love Elvis’ A little less conversation, a little more action song when I work out for this exact reason).

Aim to accomplish 1 thing per day. Pick your top project, closest deadline, task that has been staring at you in the face and just complete it. No interruptions, no email notifications, no meetings. Ask yourself constantly – it what I’m doing just busy work or am I getting closer to my goal? Then reward yourself for a job well–done and enjoy a guiltless hour of relaxation or exercise. It makes it easier if you work for yourself but even the most conservative of bosses value results over attendance these days. You are also worth more healthy and well rested than overtired and sick any day.

Learn to love leftovers, for lunch and dinner. We discovered this simple tip has profound benefits such as time-saving, money-saving, environment-saving and calorie-saving… what’s not to love? When preparing a meal, cook double the recipe and cut back on your meat portions for that evening. You will instantly have delicious food to pack for next day’s lunch and tomorrow’s dinner will take a few minutes to prepare with some fresh veggies and salad. My husband who is in sales and on the road most of the time realized packing his lunch saved him at least 30 minutes a day of not running around and waiting in line, and over $300 a month. Plus, his pants are now a size smaller and he never complains about how tasty his lunches are! He chooses to use that found time doing things he loves and funding them with his extra cash. No need for special diet foods!

Apply the 80∕20 rule. The Pareto efficiency model was a prominent part of the bestseller The 4 hour workweek by Tim Ferriss. Much of our work days are wasted on the token few customers who represents the least profitable part of our business. His book recommended focusing one’s attention on the 20% that contribute to 80% of the income and none of the headaches to save considerable time, going as far as firing the rest to create more quality time for yourself and get better results (read profits). Similarly, Parkinson Law states that Work expands so as to fill the time available for its completion. In other words, it’s good to create a feeling of shorter deadlines in order to free up time for the things that matter. Accomplish more in less time and you will relax more!

Cut back your sources of information. Do you really need to be aware of all your acquaintances status on Facebook? Have you ever really felt out of the loop if you skipped a few days away for these networks? This “social not-working” habit needs to be drastically cut to the bare minimum, assuming you are in your prime working years of course. Same goes for surfing the Net and television; how many ways can you hear the same story, when most reporters and networks access the exact same source? Pick 30-minute information and entertainment time slots in your day and stick to them with a timer if you have to.

Reading noteworthy blogs can be informative of course… this coming from a person who makes her living in the communication field… Tips to be applied with a grain of salt, of course!

Energize your networking

Office parties, Client appreciation days, professional association holiday cocktails, … ‘Tis the season for networking and getting a leg up securing next year’s contracts and being ready for opportunities. Cheers!

I just mailed my Christmas cards and sent a few token gifts to cherished clients and partners, without whom I wouldn’t be here. Much gratefulness to you all, and to all a very healthy and happy Holiday Season!!! New goals and resolutions for 2010, we made it this far, don’t give up now.

Somehow when I get those corporate cards with barely a live person’s signature at the bottom (Like the one today I received from my bank!), I wonder why they even bother at all. Many will choose to send a nice Holiday email and that’s OK to save on time, even good for the environment and your finances when you have thousands to account for. But a generic wish won’t deliver a very good response… Keep your heart in the right place and go the extra mile for those select few who mean a lot to you and tell them in your own words why you care about keeping their business and value their loyalty! And of course this goes for every service provider you take for granted. A sincere Thank you is often the best gift!

Hopefully things will slow down a bit next week and the next, so far contracts are piled up high for the next 10 days and new writing assignments are coming in… In a world of deadlines, most of us would like not to feel dead at the end of the line :-)

Sisters are doing it for themselves…1-2-3!

There was a time…when they used to say, that behind every great man, there had to be a Great Woman. Well those times may still be true (if he’s lucky), but that woman is also busy running her own career goals, personal aspirations, keeping in touch with her girlfriends, taking care of her family, inspiring others, volunteering and oh yeah - that bucket list. How does she balance it all –atop her stylish heels? 

In the past couple of years, I noticed a growing trend of empowering women groups and retreats, where the feminine energy flows in supportive good cheer. My personal experience attending two Ultimate Girls Getaway this year yielded more results and brought me a lot closer to the positive lifestyle I aspire to; I meet like-minded women from all walks of life and backgrounds, many with wonderful success stories to share. Find out more about Nadja and daughter Veronica Piatka’s personal successes on all fronts, including launching a food company which became an international phenomenon and inspiring other women to believe in their million-dollar ideas or simply in themselves (Nadjafoods.com). Lisa McKenzie launched Deserving Divas and more recently, www.SupremeSocialMedia.com, to help entrepreneurs and individuals become the conversation and claim their place in the sun on social networks and beyond – her and intuitive coach Lisa Lajoie were featured at Connect the Dots for women in Ottawa. Vered Haiun does it daily, thanks to her new local charity to help communities get fitter and feel better about their bodies, she also runs Latitude Fitness in Pierrefonds near Montreal and Renaissance of the Goddess workshops. I loved Monica de Liz new description of fat. Fabulous, Attractive and Trendy. Now there’s power in those words that can carry over into anyone’s catwalk! Her business platform is self-esteem for today whatever your body image, disguised as style workshops… There are countless wonderful women like them out there and it’s time to interview them and ask how they keep it all balanced and not lose themselves in the mix. My sister, when she’s not too busy being a top corporate lawyer in Montreal, also enjoys the business networking events for women, such as Guru Nation with organizer bedlamentertainment.com from New York to Toronto, focusing on leadership and furthering your career with your life, not one without the other…

So today, even though it’s still a few minutes shy of cocktail hour, I want to raise a glass (or cup) to all these FABulous wonderwomen out there and share my admiration! It would certainly make for great stories in my book… Once I take the time to write more exclusively for that cherished ongoing project!

Since when is good Karma a “Secret”?

Where did October go? No matter how crazy our life  gets, it is always the perfect month for good deeds. Our Chelsea RepFest group donated $500 for the local kids with the proceeds of the last sample sale so thanks to everyone who came out, and this month is also Cancer awareness month. A colleague and a friend’s mom are both battling a form Leukemia and are staying strong with a positive attitude. Seems like many people we talk to these days are going through a tough time. If your situation and your own health  allow you to give back, Just do it! I have always believed that good karma is no “Secret”, despite what all the new age books say. No matter what life force you believe in, there is no denying the positive energy that comes from giving from the heart. Many would say the rewards are almost selfish since the giver (of time, empathy, or any form of help) is the one that reaps the most benefits. This post is just special insiders info on the CHELSEA REPFEST, in case you are in the Ottawa area this Saturday. Those in the know would never DREAM of missing out on the one of a kind sporting goods and apparel sample sale happening this Saturday October 3rd, 2009, from 10 am until 4 pm (come early, the inventory runs out early afternoon…) – Location is the parking lot of 38, Scott road in Chelsea, Qc, right across from the National Capital Commission Visitors Centre. This is not a store but a private sale from all the independent sales agents in the area who need to liquidate their own samples. With everyone trying to save a dollar, these special events are too good to be true…

Are you on par?

I am currently working on a book with a long time friend of mine, and with two busy entrepreneurs’ schedules to coordinate, it is no easy task to stay on target with our writing and editing assignments. We are both really dedicated to offering this book of insights to others from all walks of life, since it is truly a project “from the heart”. Being on par means different things, mainly to have all your life’s spheres on track with your long term goals. We prepared a simple basic questionnaire that you and your partner need to fill out as a starting point for a discussion, leading to a clear and concise map of where you are and provide immediate solutions. I would greatly recommend that everyone keep a gratitude journal – this free tool can change your life. The invaluable key to keeping your life on par is to keep checking in with yourself on a regular basis, at least twice a year, ideally in a stress free setting away from the daily grind. We like to call these personal retreats, and after 8 years of these I can attest that the process is nothing but enjoyable and effective! Our next writers day is next Friday and I am really excited about working on the next few chapters together. With all this research and interviews, we learn as much as we teach! You will be the first to know the release date of this cherished project of course, and may even be invited to take part in our focus group. Stay tuned!

Hello, hope you are still working on your summer memories before the first red leaf…♥

Thanks for the feedback on my last post, proof that many of you are aiming high to achieve balance, not just success for its own sake! This summer I was fortunate to be inundated with new requests for proofing and translation from all corners of the world. The main theme seemed to be the looming winter season, with ski binding manuals, hockey flyers, ski resort web sites, spring 2010 footwear line, and many others. Thanks to my faithful collaborators who make it all go smoothly, every single demand was met on time. NOTE to my regular clients: I will be MIA this Friday until Tuesday, on a little “inspiration” retreat. That is where I review my approach to work and life, and come up with (hopefully) great ideas to improve efficiency while keeping up the healthy lifestyle. The main decision this year will be to go portable or stay home-based PC… I have not yet embraced the crackberry way of life, yet I pride myself on being available to my contacts on a daily basis. I will let you know my decision upon my return from the wisdom tour, until then you can still pretty much reach me anytime by email, text or by phone… and telepathically, of course! I may also be temporarily out of range during the Montreal BTAC show, but will respond as quickly as technologically possible. I take this opportunity to extend warm wishes to friends going through challenges right now. Life is number 1. Cherish it!

Balance your work life with your real life

Do you ever feel like your business has a life of its own? Some days it feels like micro organisms, others it’s more like the underworld… You may be an entrepreneur, but really, Who’s running who here? Today I wanted to share some tips on how to make sure your many priorities don’t swallow you whole and how you can learn to actually enjoy the juggling act. The irony for me was that I used to have little time left to submit articles… on work-life balance for www.evancarmichael.com , due to all my other tasks and commitments!  

1. Get centered and get very grateful before you boot up your computer every morning, by closing your eyes and taking a few long breaths. Your blood pressure will stabilize once you start looking forward to  reading your emails and communicating with the world. We are all connected, and we can use our powers for good! This took a while to apply and appreciate… My attitude used to be “Let’s see what the cat dragged in” or “who’s got an emergency for me today”… but now I see each challenge or request as an opportunity to shine and go the extra mile, for my own personal satisfaction and to share the journey with my clients and colleagues. Is there such a thing as the worker’s high? Only if you can derive simple pleasures from your daily tasks, and include a few more pleasant activities throughout your week. Remember, you are here because of your own choices (for the most part; otherwise we would all be on the beach).

2. Pick the people you do business with, based on your own intuition. This may sound odd, but I discovered that we become even more successful when surrounded and inspired by the right people and businesses. Those absorbed by negative energy will never get ahead and meet their meaningful goals in the long run. Try to attract the kinds of projects that are right for you and fit your core values. The rest will follow; it may seem hard to say no at first but you will need to make way for what will charge you with light and a smile on your face. I certainly appreciate my collaborators and clients’ sense of humour! But more importantly, their vision is in synergy with mine.

3. Use your breaks wisely. Most people working at a computer all day (lucky us!) are likely to browse online on their down time instead of going out for a short walk in the fresh air. Not only will the exercise stimulate your mind and blood flow, but the change of scenery will do wonders for your energy levels and outlook. Try to use your breaks to plan something you will look forward to that evening or the following week-end… On that topic, if you are lucky enough to have your clients or colleagues nearby – hold your short meetings outside!  Try to incorporate more muscles into everyday tasks and you can eventually cut down on your gym time.

4. Redecorate and have a mascot. Here at 5 Star Communications headquarters, cherished photos and Sam the yellow labrador are constant reminders that our work life needs to flow in sync with the rest of our lives. I am thankful everyday not to be writing from a grey cubicle and having greenery outside my window. Having a pet nearby will force you to get up and stretch every hour or so, even when deadlines are looming! Our bodies react to our surroundings, so take some time to rearrange a few things on your desk or walls.

5. If none of these tips help or apply to you, reconsider your life goals and short term objectives. What is truly important to you? Do you value quality work but have no time to improve your skills on a yearly basis? Do you value health but are eating your stress away at this very computer? Maybe you value relationships but have no time to return personal calls or emails? Stop and realize you can change your way of doing things any time you choose to. You are the boss. 

Now get back to work :-)

The official Staycation… turned daycation!

At the beginning of 2009, I had earmarked the first week of July to take time off and recharge with my busy travelling husband, also a borderline workaholic entrepreneur. I would like to extend heartfelt thanks to my regular clients who gave me their blessing, and also thank those who kept sending writing assignments with the tag line “I know you’re supposed to be on vacation this week, but…”. In this day and age, I am very grateful to feel my services are needed, so don’t apologize! I still admit I have a hard time pulling the plug completely, which explains today’s blog on a rainy Friday. Bottom line, we stayed home most of the week, which we both enjoy very much in the country; over 5 years ago, we began embracing the Staycation mode, even before it became trendy. We would go out and enjoy great restaurants and attractions, all within a 150 KM radius; similar idea to the 100-mile diet but in a touristy kind of way – both very green and great for the local economy. This year we took it up a notch, coining the term Daycation, where we would wake up naturally with no agenda, and let the day guide us to what we wanted to do, or not do. We stayed close to home, no luggage to pack, no maps, no service charge. We read, visited friends, worked out, had lunch on deck, saw the Snowbirds for Canada day, drank local wine, strolled through farmers market, swam in the lake… we took the time to hear ourselves think with zero performance pressure. I do feel rested from it, almost antsy to get back to the creative world! To those awaiting replies in my inbox, I’ll be back very soon, and may all of you enjoy your best summer break ever. Even if it’s just for one day. Make it your perfect day!

Inspiration and creativity for fellow entrepreneurs

The power of blogs still amazes me. Only a few years ago, being in the media was the only sure way to get your messages heard and share information to the world, but today, how many times have we picked up useful tips and advice on everything from balanced lifestyles, fitness, love, giving back, or happiness through interesting and inspiring blogs? June’s Good Housekeeping magazine was referring to the astounding number of women, mostly mothers, reading blogs daily in order to feel connected to others’ experience. I would like to do the same for other entrepreneurs in the blogosphere, reaching out to those working from home especially, who manage an international/ virtual client base. What makes your day more meaningful? 

For me, the joy of having my own personal home office, where my beloved dog Sam can hang out with me on her couch is extremely precious. My husband also has his own work space in the house, which includes the entire “women-free zone” garage, the basement, and his large sun filled office big enough to fit a yoga studio. Not that I’m jealous of all the space his business occupies, but I’m just saying having your own space is a nice luxury. Come to think of it, it would be nice to switch rooms, but I’m comfortable in this quiet part of the house and it beats a cubicle in a high rise any day.  The pleasure of being able to go for a hike most days and work late into the night goes a long way to foster my creativity and sanity on a deadline filled week. But some also see the other side of having your work always staring at you in the face if you do not have a closing door to your office, or if you have already become a crackberry type; but lucky for my husband and I, we manage to deal with all the urgent matters daily, then talk about anything else that’s on our minds on our walks.  It wasn’t always the case in our past lives chasing the corporate gold mine, but today better planning has made us aware that no one will be there to take care of us when we’re older so we better incorporate sustainable and healthy habits in our work lives and our lifestyles in general so we can outlast the previous working generation’s goals (Freedom 55?).
